Overview

The AP Specialist is responsible for processing invoices (and credit memos) for payment in Oracle. Invoices must be entered timely, on a day to day basis and verified for accuracy to ensure vendor payments are made according to terms while maximizing company cash flow.

Responsibilities

  • Review and enter vendor invoices and submit accordingly for payment approval
  • Validate GL accounts entered for each invoice
  • Follow-up on approval of invoices as needed to ensure timeliness of payment
  • Verify entry of each invoice batch to ensure accuracy of amount to be paid
  • Enter invoices paid by AmEx card while controlling volume of credit card usage
  • Reconcile individual AmEx card holder statements and follow up for departmental receipts and missed payment applications
  • Set-up weekly AmEx payment batches and forward for payment processing
  • Generate weekly aging reports and follow up on delinquent accounts
  • Provide back-up support to Lead AP Specialist as applicable
  • Perform monthly Oracle AP closing process
  • Complete year-end audit requests as necessary
  • Special analysis of vendor history and/or payment trends as requested
  • Provide support and assistance to General Accounting as requested
  • Assist with other requests and/or projects when necessary

Qualifications

  • Experience and knowledge of Oracle AP is essential to this position
  • The ability to work in a fast paced environment under pressure is critical
  • Intermediate knowledge of Microsoft Excel and Word
  • Two to five years working in an Accounts Payable position
  • Minimum of two year associates degree in accounting or business preferred
  • Excellent analytical and problem solving skills
  • Strong organizational, time management, and process improvement skills, with multi-tasking ability
  • Excellent interpersonal and communication skills with customer service approach
