Our thriving London office is in West End and serves customers in Europe and North America such as Mulberry, FitFlop, Gucci, Nike and LVMH.

     

    Tacit has 175 staff across six offices - San Francisco, New York, Austin, Mexico, Moldova and with a rapidly growing team of 40 in London.

     

    Summary

     

    We are seeking an Office Manager who has the drive, energy, personality and organisational skills to make our office a place where our teams want to work and our clients want to visit. The person will be the face and voice for visitors and callers. Our Office Manager will be engaging, enthusiastic and will thrive on taking ownership of a variety of tasks – some known and some to emerge through time and company growth.

     

    The role will be extremely varied. The successful candidate will be happy to take ownership of this role and be comfortable implementing new procedures to ensure the smooth running of the office. A "no job is too big or small" approach is required.

     

    The successful candidate will be very organized, with strong time management skills. A personable demeanour and good communicator, happy to give and receive constructive feedback and take charge of situations.

     

    Our environment is informal but a high standard of general professionalism is required i.e. completion of tasks is essential but, balanced with knowing when to have fun!

    Responsibilities

    Management and Project Team Support

    • Proactive support of UK-based leadership team
    • Accurately file expense reports on behalf of management team
    • Books and coordinates travel for remote and local team members, optimizing for both price and schedule

     

    General Office Management

    • Maintaining office supplies and inventory
    • Help with budgeting and forecasting office expenses
    • Responsible for office Health and Safety procedures and policies (First aid, fire evacuation)
    • Day-to-day administrative operations including coordinating with vendors including cleaning staff, landlord, insurance agents, and more
    • Look after the work place; keep it pleasant and productive. Keep the office fully stocked of supplies, snacks and drinks
    • Willingly step into gaps and becomes the office “go to” person

     

    Recruiting and Human Resources (HR)

    • On-boarding, conducting reference checks and carrying out training and induction for new starters
    • Maintain staff annual leave spreadsheet
    • Coordinate interviews with internal and external recruiters

     

    Events & Social Media

    • Proactively arrange social events for the office (team building, drinks, Christmas parties etc.)
    • Quarterly client engagement event planning (logistics and operations)
    • Maintain a social media presence for the UK Office
    • Assisting with production of presentations and marketing materials

     

    Ad-hoc

    • Assist with the formatting of legal contracts and proposals
    • Responsible for maintaining documentation of TK business processes on the wiki e.g. contact information for 3rd parties, expenses process etc

    Qualifications

    • Solid IT skills. Experience with Microsoft Packages (good Excel skills)
    • Good written and verbal English skills
    • Excellent organisational skills and the ability to prioritise time and multitask
    • Thrive in a fast paced environment
    • Experience in events management deseriable
