  • Overview

    Responsible for assisting the HR Manager in the administration of all aspects of human resources (i.e., payroll, reviewing applications, orientation, benefits, etc.) This is accomplished by the following prescribed ESG guidelines.


    Daily Job Duties and Responsibilities

    • Answering employee questions
    • Processing incoming mail
    • Creating and distributing documents
    • Providing customer service to organization employees
    • Serving as a point of contact with benefit vendors/administrators
    • Maintaining computer system by updating and entering data
    • Setting appointments and arranging meetings
    • Compiling reports and spreadsheets and preparing spreadsheets
    • Preparing onboarding materials


    Recruitment/New Hire Process

    • Participating in recruitment efforts
    • Posting job ads and organizing resumes and job applications
    • Scheduling job interviews and assisting in interview process
    • Prepare onboarding materials
    • Ensuring background and drug screens are completed
    • Preparing new employee files
    • Overseeing the completion and entry of compensation and benefit documentation
    • Conducting benefit enrollment process
    • Serving as a point person for all new employee questions


    Payroll and Benefits Administration

    • Processing and tracking PTO time
    • Answering payroll questions
    • Facilitating resolutions to any payroll errors
    • Participating in benefits tasks, such as reconciling benefits statements, and approving invoices for payment, set up in payroll system
    • Enter and maintenance garnishments and liens


    Record Maintenance

    • Maintaining current HR files and databases
    • Updating and maintaining employee benefits, employment status, and similar records
    • Maintaining records related to grievances, performance reviews, and disciplinary actions
    • Performing file audits to ensure that all required employee documentation is collected and maintained
    • Performing payroll/benefit-related reconciliations
    • Completing termination paperwork and assisting with exit interviews


    Other Duties

    • Maintain OSHA 300 log and all incident files; update files; communicate with injured worker; work with temporary agency contacts to complete reports, garner information and encourage return to work.
    • Initiate, track and enter annual evaluations/pay changes in a timely manner
    • Complete VOE’s
    • Assist in responding to unemployment claims
    • Preparation and distribution of employee engagement items (birthday/anniversary lists, discounts, etc.)
    • Assist as a backup administrative assistant for other operations managers when necessary.


    Safety, Sanitation and Housekeeping

    Keep warehouse and work area clean, neat and orderly. Recognize ESG’s commitment to pride and Quality. Assist in maintaining the security of the warehouse and conduct all activities in a manner that promotes a safe environment. Report all injuries and accidents immediately.

    Work Environment

    The noise level in the work environment is usually moderate. The office areas are temperature controlled and the hub facility is not temperature regulated.


    To effectively perform the duties of a human resources assistant, individuals must be able to demonstrate competencies that are essential to the position, which include:


    • Must be adept at problem-solving, including being able to identify issues and resolve programs in a timely manner
    • Strong Microsoft Office product skills are vital
    • Must possess strong interpersonal skills
    • Must be able to communicate clearly, both written and orally, as to communicate with employees, members of the HR management team, and in group presentations and meetings
    • Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information
    • Must be able to prioritize and plan work activities as to use time efficiently
    • Must be organized, accurate, thorough, and able to monitor work for quality
    • Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback


    Experience Requirements

    2 or more years combined experience in administrative clerical role and/or human resources
